- Upon being recognized, each organization is provided a TCNJ email account (RSOexample@tcnj.edu) through Google. These email accounts are delegated accounts, which means only previously identified members of the organization will have access to the email account. If an organization fails to re-register, the email account will remain with the most recently assigned members until the organization has its appeal meeting. Advisors, graduates, and non-members are not permitted to have access to the organization’s email account. It is the requirement of the delegated members to check the email account regularly. If a member somehow loses access, please email helpdesk@tcnj.edu and they can assist you.
- If your organization uses a separate Gmail account (RSOexample@gmail.com), it is still your responsibility to check your TCNJ email account regularly. You may set up your @tcnj.edu email to forward to your @gmail.com account, but Student Life will ONLY communicate with your @tcnj.edu email. Anything maintained within a @gmail.com account cannot be retrieved or otherwise managed by anyone at the College.
- All RSO TCNJ emails are added to the recognized-student-organizations-group@tcnj.edu email group. Any communication sent to that group will go to all RSO email accounts. Any emails sent to this group must adhere to the guidelines set forth in the Posting Policy.
- The Office of Student Life will typically receive most of the RSO mail that comes to campus. Each RSO will receive an email from OSL indicating when they have mail or a package. It is the responsibility of the members of that organization to pick the mail up in a timely manner. Any mail that is left behind at the end of each semester is discarded. It is also the responsibility of the member picking up the mail or package to let the rest of the organization know that it has been acquired.
- Mail can be picked up at the Office of Student Life in BSC 209, Monday-Friday 8:30am-4:30pm during the academic year, and Monday-Thursday 8:30am-4:30pm during the summer.
Book-It
- Each Active RSO is permitted to use Book It in order to reserve spaces for meetings or events on campus. Reservation requests have different timelines depending on the type of event the organization is trying to hold. It is important to understand those timelines when planning for the semester, to make sure that the organization has the proper spaces that they need.

Funding & the SAF
- All Active RSOs are eligible to receive funding from the Student Finance Board for different events that they may host throughout the year. SFB distributes the Student Activity Fee (SAF), a fee that is collected as part of each student’s tuition and fees. These funds are set aside specifically for SFB to allocate toward student organization activities.
- Before thee end of each semester, organizations will be given the opportunity to opt in for fixed funding or flagship/standard event funding for the following semester. More information about these funding types can be found on the Student Finance Board website. Organizations with questions should reach out to their designated SFB Liaison. A list of liaisons can be found on the SFB website as well.
- All RSOs are required to bank with SFB in order to be eligible for SAF funding. If an RSO maintains a supplemental off-campus bank account, they must provide documentation that the account utilizes the organization’s own Tax ID number, as the College’s Tax ID is not permitted for use.
BSC Storage Space
- Active organizations are also eligible to utilize storage spaces in the BSC – lockers on the second floor and cages in the basement. As space is limited, organizations are required to submit an interest form each summer for the following year. Storage space is not guaranteed. If your organization goes on Inactive status, you will be required to clear the contents of your storage space prior to the established deadline, otherwise all items will be discarded. Being on Inactive status revokes locker/cage privileges for the academic year.
- Each organization who uses BSC storage space is also required to adhere to the guidelines in the BSC Storage Space contract, which is sent each summer to all organizations who are assigned a storage space.
- Student Organizations with Office Space can request a key through the Brower Student Center staff located at the BSC Information Desk. Similarly, organizations with cages/lockers can use the “Master Lock Vault eLocks” app (App Store or Google Play) to access their student organization locker. Student organization executive boards are the only members of a group eligible to be on the key list.
Roar App
- Upon recognition, the Office of Student Life will set each RSO up with a profile and a page on the Roar app. Each profile is set with a default photo, RSO name, and RSO TCNJ email. RSOs can access their page using the link that is sent to their TCNJ email from ReadyEducation Campus Cloud. Because this is a third party company, TCNJ does not maintain RSO login information for their Roar accounts. Profiles can ONLY be accessed from a computer, not through the app.
- RSO Pages on the Roar app are accessed through each student’s personal Roar account via the app. Simply search for the organization and then select “join.” RSO Pages serve as a means to communicate with members and potentially interested students.
- If your organization is hosting an event that is funded through the Student Activity Fee (SAF) the Student Finance Board will require a list of all students who attended the vent. Using a computer, you can log in, create an event in the app, and generate a QR code for that event. Once the event is concluded, you can receive a full list of students who scanned into your event.
Printing
- All RSOs are provided access to the printer in the Student Org Lounge space on the second floor of the BSC. Any issues or questions that an organization may have regarding printing can be directed to the Student Finance Board in BSC 214 or via email at sfboard@tcnj.edu.
